Logistics Specialist

Reporting to the Supply Chain Manager this person will own day-to-day logistics for outbound cannabis shipments across Canada and internationally while coordinating provincial board deliveries, 3PL slots, co-packer handoffs, and all required documentation. Partner closely with Planning, Procurement, Packaging, Sales, Finance, and Quality to keep product moving and costs controlled. Success looks like high on-time delivery, reduced cost per pallet and per case, strong 3PL performance to SLA, low order and documentation error rates, and month-end shipment reconciliations completed.
Key responsibilities:
Outbound execution
Coordinate deliveries to provincial boards and other customers, including appointment bookings and 3PL dock times.
Arrange shipments with co-packers and align on handoff timing and requirements.
Documentation and compliance
Prepare and oversee mandatory shipping documents that meet customer and regulatory requirements.
Manage import and export permits when applicable and align with Quality on regulatory expectations.
3PL and carrier management
Manage day-to-day relationships with 3PLs, couriers, and freight carriers.
Ensure service levels are met, investigate failures, and optimize mode and routing for cost, speed, and compliance.
Reporting and KPIs
Maintain reporting on transportation cost, mode mix, cost per pallet, cases and pallets shipped, and on-time performance.
Set and monitor 3PL KPIs, including delivery performance, accuracy, and documentation compliance such as packing slips and pallet tags.
Finance and controls
Reconcile monthly shipments with Finance by the third business day.
Review and approve logistics invoices and resolve discrepancies.
Issue resolution
Troubleshoot delays, shortages, 3PL performance issues, and documentation errors.
Communicate shipment status and recovery plans to stakeholders.
Inbound returns
Coordinate inbound logistics for returns to Rubicon, including RTV and stock transfer orders, and close the loop with Inventory and Quality.
Continuous improvement
Serve as the logistics subject matter expert for new processes, tools, and product introductions.
Identify cost and service improvements and lead small projects to implement them.
Perform other duties as assigned by the Supply Chain Manager.
Qualifications
2–4 years in logistics, distribution, or supply chain within CPG or another regulated environment; cannabis experience is an asset.
Proven hands-on coordination of 3PLs, carriers, and customer deliveries.
Proficient with Excel and an ERP; Dynamics 365 is an asset.
Working knowledge of shipping documentation, import/export basics, and customer routing guides.
Able to work on site in Delta and support occasional after-hours peaks occasionally.
Highly organized with strong attention to detail.
Clear, concise written and verbal communication with external partners.
Strong at managing multiple priorities during month-end and quarter-end peaks.
Collaborative with cross-functional teams and external vendors.
