POSITION BACKGROUND

The Receptionist is responsible for greeting visitors, answering phone calls, ensuring smooth communication within the office, and managing the reception operations. This position is the first point of contact for visitors, and is responsible for maintaining a professional and welcoming environment. For the purposes of this document, 'Company' refers to Ketek Group Inc. and all its subsidiaries.

 

CORE DUTIES

Reception

  • Greet, assist, and/or direct visitors, clients and the general public.
  • Maintain a professional demeanor with visitors and Company Employees.
  • Provide name tags for visitors, ensuring they sign in and out.
  • Answer incoming calls; take messages and re-direct calls as required.
  • Sort, fill, and file required paperwork.
  • Act as a liaison between branch locations.
  • Maintain calendars and schedule appointments.

Other Duties

  • Manage office supplies inventory and place orders as needed.
  • Assist other departments with scanning and filing of electronic documents.
  • Successfully complete safety training as required on an ongoing basis.
  • Ensure that all of Company policies and Occupational Health and Safety regulations are followed.
  • Perform other related duties as required.
  • Represent the Company in a light that is commensurate with the values of Management and the Corporate Vision and Mission Statements.

QUALIFICATIONS AND SKILLS

Required

  • Minimum of 1 year of administrative/reception experience.
  • High school diploma / GED.
  • Fluent in the English language (reading, written, spoken).
  • Ability to deal with the public in a positive, courteous, and respectful manner.
  • Ability to handle multiple tasks and frequent demanding deadlines.
  • Strong work ethic and organizational planning skills with attention to detail.
  • Ability to work independently or as part of a team.
  • Effective verbal and listening communication skills.

Preferred

  • Post-secondary education in business administration.

WORKING CONDITIONS

Physical Demands

  • Regularly required to stand/sit, talk/hear, use hands/fingers to operate a computer and telephone, stoop, and kneel.
  • Prolonged exposure to computer screens.

Work Environment

  • Office environment (100%).
