Parish Center Coordinator

Non-exempt                  35 hours/week (5 days/week)

Position Reports to:      Pastor

Description:                  The Parish Center Coordinator (PCC) acts as a liaison between parish Office and parish organizations, helping to promote communications and interaction between various ministries and parish organizations. The PCC oversees the meeting facilities at St. Stanislaus Parish Center used by parish groups. Personal contact with the parish groups, or at least one representative who is a leadership role, is essential in order to maintain quality control, upkeep of the Parish Center building, and to be available to help when necessary.

Duties and Responsibilities:

  1. Remain in regular contact with group representatives in order to communicate use policy of the Parish Center and to obtain any special group requirements. Designate which room is appropriate for the group based on meeting size, special needs, etc. Schedule group usage of available rooms on Google calendar.

  2. Ensure that tables, chairs and any other materials are available as requested.

  3. Make periodic rounds of the facility while the meeting is in the process to check on progress.

  4. Investigate outbursts of noise or persons who have drawn attention, seeing the incident or persons as quickly as possible in order to bring them to a controlled closure.

  5. Attempt to solve problems as quickly as possible, in a polite and expeditious manner.

  6. Make group leaders aware of emergency procedures in the event they are needed (e.g., dial 9-1-1, relay appropriate information, and direct the Emergency Medical Service persons where to go when they arrive).

  7. After meetings have concluded, check to see that the facilities are in good condition and that the group leaves at the designated time. Assess that the user group properly cleaned up.

  8. Ensure that all facilities are shut down; turn off lights, keys returned, lose/lock doors, etc.

  9. Demonstrate continuous efforts to improve Parish Center operations, streamline processes and work collaboratively with staff and leaders of Parish organizations to provide excellent service.

    Administration:

  1. Ensure proper sized meeting space is available on date requested.

  2. If there are any incidents or emergencies, note details, prepare a synopsis and forward it by written email to the Business Manager within 24 hours, with a copy to the Pastor.

  3. Determine custodial needs of Parish Center at least monthly. Document maintenance projects necessary to maintain the building in an excellent condition. Prepare recommendations and forward to Business Manager.

  4. Coordinate special cleaning arrangements in consultation with outside vendor and Business Manager.

  5. Develop building cleaning supply lists, monitor Parish Center vendor relationship, maintain an inventory of maintenance supplies.

  6. Oversee key plan, control distribution of keys required for building access. Ensure the return of keys by employees who terminate service.

  7. Communicate any problems concerning building systems to business manager.

  8. Attend regular staff meetings.

  9. Record sacramental events in appropriate registries.

  10. Coordinate Mass book sign-ups and intentions.

  11. Assist the Liturgy Committee in the planning of special parish liturgies.

  12. Schedule altar servers for funerals and other Church events.

  13. Recruit, interview, train and schedule high school and adult receptionists.

  14. Other duties as assigned. 

    Working Conditions: 

Work is typically performed in an interior/office environment. The ability to meet deadlines regularly, organizational ability, and capacity to juggle multiple tasks is an expectation of the successful person in this position. Light physical lifting may be required. There is little exposure to any environmental risk.
