The Arab-American Family Support Center (AAFSC) is a non-profit, non-sectarian organization established in 1994 to provide culturally and linguistically competent, trauma-informed social services. Our mission is to empower immigrants and refugees with the tools they need to successfully acclimate to the world around them and become active participants in their communities. While our doors are open to all, with 36 languages represented across staff, AAFSC has developed cultural and linguistic expertise serving members of NYC’s Arab, Middle Eastern, North African, Muslim, and South Asian (AMENAMSA) immigrant and refugee communities.

JOB SUMMARY:
AAFSC is looking for a detail-oriented professional to provide overall administrative and recruitment support to the Human Resources department. A successful person in this role will be a strong writer and verbal communicator, have a record as a trusted partner to senior leadership, and exhibit sound work ethic. The HR Associate will be organized, have attention to detail, and the capacity to thrive under pressure while working on multiple projects. A commitment to immigrant, refugee, and low-income communities is essential for this role.
Essential Functions:
Maintains electronic and paper Human Resources files, including active employees, terminated employees, and I-9 forms in compliance with federal and state law.
Provides intensive support for the recruiting function when, including, but not limited to, posting open positions online, interview scheduling, screening resumes, conducting interviews, greeting candidates, and assisting with interview flow.
Prepares on-boarding packets and paperwork for full time and part time new hires, interns, and terminations.
Conducts New Employee Orientation.
Provides in-person support for new hire on-boarding, as well as any other human resources trainings for AAFSC team members (e.g. supervisory trainings, leadership trainings, etc.).
Processes and enters staff updates in Viventium and TimeClock Plus including, but not limited to, title changes, salary changes, department and reporting changes.
Maintains and updates organizational chart.
Participates in and supports the Sunshine Committee as well as Diversity, Equity & Inclusion Committee.
Drafts all new job descriptions and modified job descriptions for review by Director, Human Resources , keeping in mind contract and grant requirements.
Provides support throughout the performance evaluation process by ensuring all forms are received and organized by employee, following up on missing items, uploading ratings into tracking system, and helping to prepare any information requested by leadership.
Provides on-going benefit enrollment support year-round, as well as during open enrollment period.
Supports annual 403(b) audit as well as any other benefit review requests.
Support with preparing for bi-weekly payroll, including following up with team members and supervisors, and checking timecards for accuracy.
Oversee maintaining and updating all-staff surveys, and providing relevant summary reports. Track responses as needed.

Cultivate relationships on behalf of and in support of the organization in partnership with Senior Leadership and the Resource Development team. This includes being sensitive to and aware of others, providing every client, partner and participant with high-quality service, professional communication, and follow through, and always keeping Senior Leadership and the Resource Development team aware of any opportunities, challenges, or updates.
All team members are expected to support the Resource Development team with any requests in a timely manner, including, but not limited to: grant applications, reports, attendance at meetings, hearings, or other events, and sharing of AAFSC social media, flyers, and other externally-facing communications.
Demonstrate a willingness to respond to evolving community needs, including, but not limited to, making referrals in light of community needs, supporting with the development of and implementation of new initiatives or programming, and raising awareness of new or evolving needs.
