Position Summary
The Organ Communication Coordinator (OCC) is responsible for evaluation, review and following of all organ-related referrals, inclusive of phone and electronic referrals. The OCC provides customer service to all referring hospital partners. The OCC provides daily and nightly follow up on existing referrals with focus on triggers for onsite response. Facilitates optimal communication to help promote, preserve and increase organ and tissue donation opportunities. Ensures prompt, professional and effective dispatching of staff to service the donor hospitals in all LOPA regions to enhance clinical partnerships and increase donation outcomes. Supports and fosters the LOPA mission, vision and core values and its commitment to organ, eye and tissue donation. 

Essential Functions
  • Serves as the principal source of donor information throughout the new referral and evaluation process. 
  • Evaluates potential organ donors at referring hospitals to determine medical suitability for organ donation through medical records review via phone and electronic medical records. 
  • Completes the donor evaluation via phone and electronic medical records (EMR); communicates with physicians and other health care team members to obtain information about the patient’s hospital course, present hemodynamic state and the family’s understanding of the patient’s condition. 
  • Provides timely feedback about the referral and hospital plan to the APC and or AOC.
  • Completes documentation for quality assurance for assigned cases per LOPA policy in a timely manner. 
  • Maintains skill level through mandatory training, semiannual or annual evaluation, continuing education certification requirements and maintaining annual competencies. 
  • Assists in identifying case specific barriers to donor potential, develop strategy to minimize risk and maximizes opportunities, escalates high- risk situations as needed. 
  • Consults and collaborates with AOC, APC to guide hospital partners on early optimal medical management prior to onsite arrival to maximize organ suitability. 
  • Perform timely phone follow up with hospital partners on case plans and outcomes as needed. 
  • Able to identify when clinical and approach triggers have been met and communicate next steps with personnel. 
  • Complete the donor evaluation via Electronic Medical Record (EMR) and report necessary information on evolving referral to AOC/ Auth Support/ APC.
  • Works with health care team members to ensure that each family is offered the opportunity of organ and tissue donation at the appropriate time and in a compassionate and respectful manner. 
  • Contributes to case reviews and process improvement. 
  • Precepts new staff as needed.

Job Role Expectations
  • Attends bi-monthly OCC meetings as scheduled. 
  • Attends scheduled 1:1 meetings with the Director monthly or as needed. 
  • Maintains competency annually.
  • Review and complete all assigned tasks in Q-Pulse by the assigned deadline
  • Review and complete all assigned tasks in TrainCaster by the assigned deadline. 
  • Completes all QA tasks as assigned in Itransplant in a timely manner.

Role Progression to Preceptor/ Lead OCC
  • Attend a preceptor course as offered by the education department. 
  • Prepare and teach materials as part of Bi-monthly OCC meetings. 
  • Obtain and maintain fluency in all remote EMR systems.
  • Successfully lead the morning huddle and conduct review of all cases.
  • Demonstrate ability to organize the daily deployment plan and generate all assignments in Itransplant. 

Work Environment
  • Possible exposure to communicable diseases, bloodborne pathogens, airborne illnesses, hazardous materials, pharmacological agents with little likelihood of harm if established health precautions are followed.
  • May, at times, have exposure to blood, packaged organs and tissues for transplant and/or research in a hospital setting or while in the office.

Work Hours
  • Full time, 12-hour shift schedule
  • Weekend and holiday call coverage

Education and Experience
  • Associates degree (AS), in nursing, biology or medical sciences, RN/BSN preferred. 
  • Minimum of 2 years in critical care, ICU experience or in transplant services or in OPO with related experience. 
  • CPTC preferred. 

Knowledge, Skills & Abilities
  • Ability to read, analyze and interpret healthcare regulation.
  • Ability to prepare documents, draft reports, correspondence, and produce manuals. 
  • Ability to effectively present information and respond to questions from groups of healthcare professionals and the public.
  • Excellent written, verbal, and interpersonal skills required. 
  • Ability to work with mathematical concepts such as probability and statistical inference. 
  • Ability to apply concepts such as fractions, percentages, ratios, and proportion to practical situations. 
  • Actively fosters an organizational culture based on collaboration, support, and constructive communication. 
  • Must be able to analyze and assess situations, create solutions to resolve problems and collaborate with others to solve problems in a timely and professional manner to meet organizational deliverables.

  • Must be compassionate, conscientious, ethical, and possess effective interpersonal skills that allow him/her/them to have effective communication with healthcare professionals and donor families.
