POSITION SUMMARY
Kolbe Corp is seeking a special type of project manager. If you’ve been too steeped in a very strict way of managing projects where deadlines don’t ever change, the content and materials stay the same, and everything always goes according to plan, this may not be the position for you. As an entrepreneurial company, we strive to provide the highest standard of event experience for our clients, balanced with the ability to implement the best ideas, even if at the last minute. That said, we aren’t in love with chaos. We have and follow processes and pay careful attention to the details. This role bridges event management with instructional project coordination—supporting in-person and virtual experiences, managing logistics, producing participant materials, and helping maintain a high-quality learning experience across our platforms. The ideal candidate is equal parts event planner, instructional coordinator, and project manager. You’ll have the opportunity to work with a cross-functional team, including sales, marketing, technology, etc. with constant opportunities to learn. Are you up for the challenge?
KEY RESPONSIBILITIES
Event Management
Lead project planning, task delegation, and deadline tracking for our annual conference and other in-person and virtual events.
Manage logistics including venue coordination, A/V, catering, BEOs, vendor communication, signage, staffing, and registration.
Coordinate trainer/speaker and sponsor logistics including deliverables, content, and scheduling.
On-site lead for execution including setup, team direction, sponsor relations, session timing, and troubleshooting.
Monitor and report on key KPIs for events and trainings: attendance, engagement, satisfaction, and impact.
Collect feedback and analyze trends to inform improvements for future events and programs.
Training Project Management
Oversee creation and management of all training materials (slides, handouts, participant guides, workbooks).
Coordinate timelines and collaborate with SMEs, designers, and stakeholders to ensure accuracy and alignment with the Kolbe brand and learning objectives.
Maintain version control of training collateral and align updates with product/strategy changes.
Additional cross-functional projects as needed.
Systems Management and Community Engagement
Support administration of the Learning Management System (LMS), including course setup, enrollment tracking, reporting, and troubleshooting.
Coordinate with internal teams and external vendors to improve system functionality and user experience.
Support the growth and engagement of the Certified Consultant online community, including communication strategy, content scheduling, and engagement metrics.
Collaborate with Marketing and Sales teams to promote events, share learning updates, and gather user feedback.

We are a mission-driven business, where our focus is on helping our corporate and individual clients discover and develop their strengths. Our events are a mix of virtual and in-person, and some require physical materials and on-site support. We are looking for someone located within commuting distance to our office in Phoenix, AZ, though the ability to work remotely 1-2 days a week is possible after a training period.
Education and Experience:
• 5–7 years experience in event coordination, project management, or program operations.
• Proven ability to manage complex projects with multiple stakeholders and moving parts.
• Exceptional attention to detail and time management.
• Excellent verbal and written communication skills.
• Strong technical skills: Microsoft Office Suite, project management tools (e.g., Asana, Microsoft Planner), and LMS platforms (e.g., Litmos, Talent LMS or similar).
• Experience with digital community platforms (e.g., Mighty Networks) and virtual meeting tools (Zoom, Microsoft Teams, etc.) is a plus.
• Ability to support onsite events with occasional (2-3 times per quarter) early or late schedules.
