The Operations Assistant will have both internal and external facing responsibilities, ranging from customer service and administration (communications, written reports, filing, etc.), human resource management (HR/recruiting, mentoring, career progression, etc.), and program management (supervising, program oversight, etc.). The Operations Assistant will partner closely with the NFK Executive Director to ensure future growth and strategic response to an ever-increasing demand for the organization’s services.

The Operations Assistant will be responsible for the following duties:

Administrative Functions

  • Address all forms of communication and correspondence in a professional and timely manner
  • Communicate professionally with internal and external partners
  • Compile and manage weekly management reports
  • Create and maintain electronic filing system
  • Manage the online registration database and online storage system
  • Create meeting agendas, taking minutes and provide other meeting support as needed
  • Maintain electronic filing system
  • Serve as a liaison between NEWfit representatives and fiscal sponsor

 Human Resources

  • Assist with the recruitment, onboarding, and training of new staff, independent contractors, facilitators, and personnel
  • Create/update as well as manage the distribution and receipt of contractual information
  • Inventory contractor/personnel files
  • Assist with the creation and/or updating of job descriptions, contracts, and other organizational documents as needed
  • Edit and manage the online timesheet system
  • Edit and manage programmatic apps

 Program Management

  • Attend scheduled meetings with stakeholders to asses programming
  • Facilitate all necessary trainings and/or meetings with contractors
  • Create and manage all aspects of the professional development training calendar
  • Serve as an intermediary between the organization and current/potential partners
  • Provide support and guidance to program leads
  • Conduct weekly and bi-weekly check ins with program leads and contractors to ensure quality programming
  • Conduct periodic site visits to partner schools to ensure quality programming

 Financial Oversight

  • Review and monitor financial statements on a monthly basis
  • Review general ledger on a monthly basis
  • Monitor program spending

 Accounts Payable

  • Create accurate quotes and invoices for payment processing
  • Manage system and process for accounts payable follow up

 

Accounts Receivable

  • Create accurate quotes and invoices for payment processing
  • Track purchase orders and information accurately in database
