Oral Pathology Consultants, a division of Department of Oncology and Diagnostic Sciences, is accepting applications for the Administrative Assistant I position. The administrative assistant’s duties and responsibilities include providing administrative support to ensure efficient operation of the office. This position will provide support through a variety of tasks related to organization and communication. This position is responsible for confidential and time sensitive material.Candidate must have the ability to effectively communicate via phone and email ensuring that all assigned duties are completed accurately and delivered with high quality and in a timely manner. Will report to the Executive Director – Clinical Administration.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Receives and screens telephone calls and emails. Independently oversees procedural and substantive matters and inquiries which do not require technical knowledge or refers callers to others as appropriate.
- Collecting mail
- Log in Biopsy specimen information in Axium.
- Patient Registrations (Axium)
- Prepare and proofreads specimen worksheet from materials created by others. Proofreads for grammatical, typographical, and basic content errors.
- Develops, implements, and maintains slide, paper, and electronic filing system which meets department needs and satisfies requirements for retention and information security.
- Assembles biopsy kits.
8. Processing/tracking external consult requests
- Operates office equipment such as personal computer, photocopier, scanner, and dictation equipment.
- Other duties as assigned.

EDUCATION and/or EXPERIENCE:
- High School Diploma or GED, some college is preferred
- Proficient in MS Office Suite products
- Customer service skills – dealing with phone conversations with patients, faculty, staff, students
- Independent thought and problem-solving skills
- Able to be trained for AxiUM use
Required Knowledge / Skills / Abilities:
General knowledge of and skill in the practical application of accepted office practices and procedures. Must be able to operate computer and other office machines, such as fax, scan, answering telephones. Skill in various computer software packages, such as database, programs, internet, email, and calendaring software. Ability to proofread and edit written documents. Skill in filing documents according to alphabetic and numeric sequences. Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
