THE COUNCIL OF MINISTERS OF EDUCATION, CANADA (CMEC) is an intergovernmental body providing leadership in policy development, program administration, and research at the pan‑Canadian and international levels. Located in the heart of Toronto (steps from the St. Clair subway), CMEC is seeking a:


BILINGUAL ADMINISTRATIVE ASSISTANT, INTERNATIONAL UNIT 

Permanent, full-time position

Current annual salary range: $45,911–$53,376, depending on experience and qualifications

Work arrangement can be remote, in-person, or hybrid


This position is a member of the Canadian Office and Professional Employees Union (COPE) Local 343.

The Administrative Assistant plays a crucial role in ensuring the smooth functioning of operations in the International unit, particularly in supporting meetings, logistics, and financial updates. 

This position reports directly to the Director, International. 


Key responsibilities

1. Meeting coordination and logistics 

  • Assist with the complex logistical arrangements for senior officials (ministers and deputy ministers) attending international meetings, including coordinating schedules across multiple time zones
  • Book meeting venues, when necessary, and secure accommodations for CMEC attendees
  • Compile agendas and notes for certain meetings, and distribute relevant documents before and after meetings
  • Set up videoconferences, troubleshoot technical issues, and ensure proper connectivity for remote participants
  • Manage registrations for events, assist with event logistics, and provide general administrative support

2. Invoicing and expenses

  • Monitor and record expenses related to International activities, ensuring compliance with internal financial policies
  • Assist with budget updates
  • Prepare and submit invoices, reimbursements, and payments related to International meetings and travel, when necessary

3. Administrative and general operations 

  • Handle emails, phone calls, and other communications with internal teams, provinces and territorial officials, and international partners
  • Maintain databases, file documents, and ensure proper archiving of International meeting records
  • Manage translation requests from team members


Key qualifications 

  • A minimum of five years’ experience providing administrative support
  • Excellent command of English and French, both spoken and written
  • Exceptional organizational and task-management skills, together with the ability to plan, prioritize work, multitask, and meet tight deadlines
  • Excellent communication, interpersonal, and relationship-building skills
  • Strong follow-up skills for project planning and processes
  • Excellent problem-solving skills
  • Strong attention to detail
  • Ability to work independently and as part of a teamExcellent computer skills (MS Office, in particular), including the ability to format documents and manipulate spreadsheets

Ability to exercise sound judgment and use diplomatic skills

  • Ability to exercise discretion and tact in sensitive and confidential situations, and ability to handle confidential and sensitive documents
  • Knowledge of, and sensitivity to, intergovernmental relations is considered an asset
