Medical Office Assistant - F/T Term Foundry Kelowna

Kelowna, BC Temporary $24.36-$28.01/hour

CMHA Kelowna is hiring a full time Medical Office Assistant to join the Foundry Kelowna Team. This position is full-time, 6-month term with the possibility of extension, offering 37.5 hours per week, with a typical work week of Monday to Friday, 9:00am-5:00pm with some need for flexibility. 


WHO IS A MEDICAL OFFICE ASSISTANT?

The MOA at Foundry Kelowna is a detailed orientated and organized individual. They are skilled at running the front desk of a clinic.  They have a passion for people and an ability to provide great customer service to youth, young adults, and their caregivers that access the services at Foundry Kelowna. They exude empathy and compassion for those in crisis or experiencing barriers in getting their needs met. They have the ability to create a welcoming and safe environment for everyone who comes through the doors of Foundry Kelowna.   


WHAT DOES A MEDICAL OFFICE ASSISTANT DO?

Working within the context of a client-centered inter-professional model of care and reporting to the MOA Team Lead of Foundry Kelowna, The Medical Office Assistant will provide all clinical support functions, including: 

KEY RESPONSIBILITIES:

  • Maintaining highly confidential records, correspondence and communication 
  • Providing clinical support to a range of health care professionals 
  • Greeting and navigating youth/young adults, parents and caregivers 
  • Regular administrative and reception duties: registering patients, answering the phone, general correspondence/communication, record keeping, reporting, data entry and word processing, graphic and database applications, compiling and entering statistical information, recording, transcribing, updating all forms of correspondence 
  • Scheduling and confirming client appointments 
  • Maintains medical supplies, and equipment 
  • Clinical support: escorting clients to examination/treatment room and ensuring appropriate instruments, procedure trays or other supplies are set up 
  • Delivering and disposing of supplies, biologicals, materials, and equipment. 
  • All other duties as assigned 

QUALIFICATIONS & EXPERIENCE:  

  • Completion of the Medical Office Assistant course and experience working in a healthcare office is considered an asset  
  • Front desk/reception experience is considered an asset 
  • Ability to work collaboratively and effectively set up new systems, establish procedures and associated documentation as directed by the MOA Team Lead 
  • Utilize word processing, spreadsheet, database, scheduling and electronic mail applications at an intermediate level 
  • Complete tasks under pressure, be flexible, prioritize work and meet deadlines 
  • Exercise tact and discretion when handling sensitive and/or confidential matters 
  • Accuracy and attention to detail 
  • Compose routine correspondence using clear and concise language 
  • Thrive in a team environment while also being able to work independently 
  • Communicate in a courteous, empathetic and professional manner with the general public, people experiencing mental illness and their family members, funders, volunteers, staff and other community partners 
  • Adapt to changing environments and take pride in making a difference within our community 
  • Have the capacity to support billing, supply orders and other needs of itinerant staff (including physicians).
