Administrative Assistant - Part Time Term

SUMMARY: The Link: Youth and Family Supports is growing! We are looking for an Administrative Assistant to join the team in Thompson, Manitoba! The preferred candidate is customer service focused with excellent interpersonal communication skills, a self-starter, and a great team player. Additional strengths include attention to detail, organization, experience using MS Office Suite and a proven ability to maintain confidentiality in handling sensitive information.

DUTIES AND RESPONSIBILITIES: 

Reporting to the Director, Northern Operations, the Administrative Assistant is responsible for providing a broad array of administrative duties and clerical tasks to support business operations. This may include typing memos, reports and/or submissions, collating financial documentation, acting as receptionist and managing the flow of visitors to the office. In addition, the incumbent supports the administrative functions of recruitment and facilitating the signing of paperwork.  

  • Greet visitors and clients in a professional, friendly and cooperative manner;
  • Manage communication via phone, e-mail, and mail in a polite and professional manner;
  • Responds to inquiries, acts on requests, or refers individuals to appropriate staff for action as deemed necessary;
  • Organizes and schedules appointments and meetings;
  • Ensures that the office premises are neat and orderly; 
  • Reconciles all petty cash, expense reimbursement and mileage claims for all norther departments and submits them to the accounting department for processing; 
  • Supports the operational administrative functions for hiring and onboarding;
  • Performs other administrative duties as assigned.

QUALIFICATIONS:

  • Graduate of a recognized business/office skills program, or a combination of education and experience may be considered. 

EXPERIENCE: 

  • Minimum 1-year experience as an Administrative Assistant;
  • Effective administration and people management skills;
  • Strong written and verbal communication skills;
  • Ability to work with confidential information;
  • Computer savvy and proficient with Microsoft and Microsoft Office Suite;
  • Capable of meeting specific deadlines;
  • Satisfactory Criminal Record Check with Vulnerable Sector Search, a clear Child Abuse Registry check with acceptable Prior Contact checks, and a clear Adult Abuse Registry check, all done within the last 3 months.

SALARY RANGE: $30,700.00 - $46,000.00. Salary will be dependent on qualificationsThe Link offers a group benefit plan, pension plan, paid vacation and paid sick leave. A 5% Northern Allowance will be paid out based on the salary as this position is located in Thompson, MB. Please note, the salary is pro-rated based on hours worked.

HOURS OF WORK: 17.5 hours per week – Monday-Friday - 8:30am to 12pm or 1pm - 4:30pm shifts
