Job Title: Medical Assistant / Clinical Intake Specialist

Summary

The Medical Assistant / Clinical Intake Specialist is responsible for providing both clinical and administrative support to ensure the efficient operation of the clinic. This individual assists providers and patients through a variety of tasks related to patient care management, intake, communication, and organization. The position requires a strong understanding of medical terminology, patient care procedures, and electronic medical record (EMR) systems.


Essential Duties and Responsibilities

Patient Care & Clinical Support

  • Greets patients and ensures their comfort, treating all patients and families with respect and dignity.

  • Demonstrates knowledge of disease processes, medical terminology, and standard clinical practices.

  • Obtains and documents vital signs, blood pressure, and clinical intake questions.

  • Performs and documents History of Present Illness (HPI), past medical and surgical history, medication history, allergies, and review of systems.

  • Assists providers with examinations, procedures, injections, and treatments as directed.

  • Collects, labels, and packages specimens for laboratory and point-of-care testing in accordance with policy.

  • Administers intramuscular (IM) injections and changes dressings or removes sutures as directed.

  • Prepares patients for examinations and explains treatment procedures clearly and compassionately.

Administrative & Intake Responsibilities

  • Manages patient flow by organizing schedules, escorting patients to exam rooms, and ensuring timely visits.

  • Prepares and updates patient information in the EMR system, ensuring all documentation is complete and accurate.

  • Updates medication lists and prepares prescription refill requests for provider review and approval.

  • Communicates patient instructions and relays provider recommendations to patients and/or family members.

  • Handles patient phone calls, emails, and EMR inquiries using professional and courteous communication.

  • Coordinates medical records, referrals, x-ray and imaging reports, and other documentation as needed.

  • Ensures all Meaningful Use and PQRS data is accurately captured and documented.

  • Obtains informed consent signatures and educates patients on pending procedures or ancillary services.

Compliance, Safety, and Quality

  • Maintains strict confidentiality of protected health information (PHI) in compliance with HIPAA regulations.

  • Ensures a clean, safe, and functional environment for patients and staff.

  • Monitors and maintains inventory of medical supplies in exam rooms.

  • Adheres to clinic policies and safety procedures, reporting concerns or improvement opportunities to management.

  • Assists in maintaining effective medication management processes, including proper storage, ordering, dispensing, and monitoring of medications.

Professionalism & Teamwork

  • Communicates effectively with providers, patients, and team members to ensure high-quality patient care.

  • Demonstrates initiative and contributes ideas to improve clinic efficiency and patient satisfaction.

  • Operates office equipment and clinical software competently and efficiently.



This position will be primarily on Mondays and Tuesdays each week 8am-430pm.

** 1 Tuesday per month- May be required to ride to Lafayette with 2 other members of the team to evaluate a couple of patients. Start time would be 6:30am and end time would be anywhere from 4:30pm to 6pm depending on traffic on the way back from Lafayette. You will not be driving, just riding in a company vehicle.
