Position: Technical Administrator
PLEASE NOTE: This is not a remote position. This position is located in Trinidad & Tabago Waterloo, Carapichaima, Trinidad, W.I.
MAIN PURPOSE:
Undertake a Technical Administrator function within Sparrows Offshore LLC to provide administrative support to the Houston Service, Crane Manufacturing, Engineering Services, International Services and Fabrication Services business areas. Provide support in certain areas of the Human Resources Department.
REQUIRED SKILLS:
- Minimum of two years of experience within an administrative function
- Ability to work reprographic equipment effectively (scanning, plotting, printing)
- Excellent communication skills – written and verbal
- Excellent computer skills
- Ability to perform tasks independently, with minimum supervision, as well as within a team environment
- Ability to multi-task and effectively manage work across multiple projects.
MAIN RESPONSIBILITIES:
- The Technical Administrator, as a member of the Technical Group, has the primary responsibility to perform administrative and document management activities within the Houston Service, Crane Manufacturing, Engineering Services, International Services and Fabrication Services business areas.
- Create and maintains Training Matrix and/or training and onboarding systems for Houston.
- Provide backup HR assistance and front desk support
- It is mandatory for the incumbent to be familiar with the requirements of the Quality Management System and to take an active part in the compliance and improvement of the Company’s Quality Program. The adherence to the Company’s Quality Procedures and allied systems is required to maintain quality standards to API Q1.
- The incumbent must be fully conversant with the requirements of the Company’s Safety Policy and take an active part in the compliance and improvement of the Safety Management System, ensuring that the health and safety arrangements are being effectively applied by all subordinates.
- The incumbent must adopt a cooperative attitude towards being assigned alternative or additional duties to those for which they are primarily employed.
- Administration of Technical Group systems, records and registers
- Ensuring Electronic Document File Management
- Maintaining Technical Group File Library (Manuals, Data Books, Drawings etc)
- Monitoring and Reporting of Project Time-Writing
- Maintaining archival records for all controlled documentation
- Responsible for maintaining suitable records of all activities under direct responsibility
- Responsible for the processing of Technical Group Sales Invoices, including necessary data input within Vantage system
- Responsible for the processing of Technical Group timesheets, including necessary data input within Vantage system
- Responsible for the organization, reporting and management of all travel logistics necessary for Technical Group personnel (e.g. reservation of flights, accommodation, car hire etc.)
- Responsible for providing a Document Control function within the Technical Group team.
- Responsible for coordinating the activities of Document Control, including distribution of controlled documents, maintenance of electronic department directories, tracking and reporting on document review progress
- Assist with the implementation, management and administration of the Technical Group electronic document management system
- Responsible for providing general administrative support to personnel within the Technical Group and provide backup switchboard support when needed.
- Conduct internal meetings to progress ongoing, urgent or overdue issues.
- Liaison with Technical Group team members to ensure project milestones / deadlines are met.
- Liaison with clients, sub-contractors, suppliers and company staff as required
