Bilingual Scheduling Lead

Job Description: Scheduling Lead                            

 

Reports to: CEO

 

Job Summary: The scheduling lead operates as part of the centralized scheduling team to ensure the efficient scheduling of patient appointments for THI.  The scheduling lead also acts as primary point of communication for the centralized scheduling unit ensuring effective communication around processes occur both within the centralized scheduling team and with the rest of the organization.   

Responsibilities/Duties:

  • Schedule/reschedule initial and recurring appointments
  • Monitors patient attendance
  • May occasionally be required to discuss low attendance rates with parents
  • Collaborate with authorization department to monitor authorization deadlines
  • Patient check out including collecting payment and scheduling follow-up visits
  • Attend organizational meetings related to scheduling as assigned by supervisor
  • Facilitate effective training for all staff, including providing comprehensive orientation to new staff
  • Practice effective communication with all THI departments
  • Exhibit communication and actions that fosters and maintains a high level of client satisfaction
  • Other duties as assigned by supervisor.

Required Skills/Abilities:

 

  • Bilingual (required) - Excellent oral and written communication skills in English and Spanish, including active listening and the ability to effectively communicate with employees, parents and various pediatric professionals
  • Excellent customer service/patient service skills and great phone etiquette
  • Must be organized and have the ability to prioritize tasks
  • “Can-do” attitude and willingness to learn new skills and technologies
  • Working knowledge of Microsoft Office, Word, Excel, Power Point and Outlook.
  • IMS-On the job training
  • Use of office equipment, i.e. computers, iPad, scanner, fax machine, projector and screen

 

Education and Experience Requirements:

  • High School diploma or equivalent
  • Three years previous administrative or clerical experience in a clinical setting
  • Three years previous experience as a medical scheduler preferred

 

Physical Requirements:

Stand; walk; sit; reach with hands and arms; public speaking; hear; see; bend, able to lift 15 pounds; drive a motor vehicle. Job requires extensive computer use, employee must have sufficient hand dexterity to use a computer keyboard/mouse and computer screen for long periods of time.
